Executive Assistant

Job description

• Plan, organize key business meetings and follow up on action plan • Manage and coordinate with stakeholders globally • Participate in decision-making on behalf of the executives. • Organize calendars and proactively manage communications from the executive's office • Collaborate with cross-functional departments and present project updates to the executives • Preparing reports, memos, letters, and other business documents • Initiate business plan meetings • Organize business performance review meetings on monthly / quarterly basis • Prepare business analysis / projections as and when required by the executive • Researching and preparing data to prepare documents and presentations for executives and the board of directors • Using various data visualization tools, including word processing, spreadsheets, databases, and presentation software, present reports to the executives • Accurately recording minutes of the meetings and executing the follow-up action • Answering phones, routing calls to the correct person or taking messages • Filing and retrieving corporate records, documents, and reports • Managing executive's guests and visitors and prioritizing meetings with the executives • Reading and analyzing incoming memos and submissions, and distributing them as needed • Coordinate travel arrangements for executives • Performing office duties that include ordering supplies and managing a record database • Opening, sorting and distributing incoming faxes, emails, and other correspondence • Provide general administrative support
